SOPFlow ("we," "us," or "our") operates the SOPFlow web application (the "Service"), an AI-powered tool that converts raw, unstructured text into professional Standard Operating Procedures (SOPs). This Privacy Policy explains what information we collect, how we use it, and the choices you have regarding your data.

2. Information We Collect

We collect the following types of information:

• Account Information: Your email address and name when you register for an account.
• SOP Content: The raw text you submit and the formatted SOPs generated by our AI.
• Usage Data: The number of SOPs you generate, your subscription status, and interaction logs with the Service.
• Technical Data: IP address, browser type, and device information collected automatically when you use the Service.

3. How We Use Your Information

We use the information we collect to:

• Provide, maintain, and improve the Service
• Process your raw text through AI to generate formatted SOPs
• Publish SOPs to your Notion workspace when you explicitly request it
• Manage your subscription and process payments through Stripe
• Send service-related communications, such as subscription updates
• Detect, prevent, and address technical issues, fraud, and abuse

4. AI Processing

When you generate an SOP, your raw text is sent to our AI processing provider for structuring and formatting. The provider temporarily processes your input to generate the formatted output. We do not use your content to train AI models, and your raw text is not retained by the AI provider beyond the time needed to generate your SOP.

5. Third-Party Services

The Service integrates with the following third-party providers, each with their own privacy policies:

• Notion: When you connect your Notion workspace and push an SOP, we create pages in your workspace using your Notion credentials. We store only the URL of the created page, not your Notion token.
• Stripe: We use Stripe to process subscription payments. Stripe handles your payment information securely; we do not store or access your card details.
• AI Provider: We use a third-party AI service to generate SOPs from your raw text. Your input is transmitted to this provider for processing and is not used for model training.

6. Data Security

We use industry-standard security measures to protect your data, including encrypted transmission (TLS) and secure data storage. However, no method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee absolute security.

7. Data Retention

We retain your SOP documents and account information for as long as your account is active. You may delete individual SOPs at any time within the editor. If you cancel your subscription, your data is retained for 30 days to allow for potential reactivation, after which it is permanently deleted.

8. Your Rights

You have the following rights regarding your data:

• Access: View your SOP documents and account information at any time.
• Delete: Delete individual SOPs or request full account deletion.
• Export: Download your SOPs in Markdown, PDF, or DOCX format using the export menu.
• Disconnect: Disconnect your Notion workspace at any time from Settings.
• Cancel: Cancel your subscription at any time from Settings.

9. Cookies

We use essential cookies to maintain your session and authentication state. We do not use advertising, tracking, or third-party analytics cookies.

10. Children's Privacy

The Service is not intended for individuals under the age of 18. We do not knowingly collect personal information from children. If you believe we have collected information from a child, please contact us.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by posting the new policy on this page and updating the "Last updated" date. We encourage you to review this policy periodically.
